Log Time Entries

Record billable hours against a matter and turn unbilled time into a draft invoice.

Recording time

  1. Go to Legal β†’ Time Entries and click Log Time.
  2. Pick the matter. Start typing the case name or its reference and choose it from the list.
  3. Describe the work β€” this text becomes the line on the client's invoice, so write it for the client to read.
  4. Enter the hours (quarter-hour steps) and the rate per hour. The total is calculated for you.
  5. Leave Billable ticked for chargeable work; untick it for time you are recording but not charging.
  6. Click Log Entry.

The list shows every entry with its matter, hours, rate, total and status.

Turning time into an invoice

Billable time does not bill itself β€” you decide when to draw a line under a matter and raise the invoice.

  1. On Legal β†’ Time Entries, click Generate Invoice.
  2. Pick the matter to bill.
  3. Leave Bill to blank to invoice the matter's own client. Only set it when the payer is somebody else.
  4. Optionally set a due date (30 days by default) and a note.
  5. Click Generate Invoice.

Every billable entry on that matter that has not already been invoiced is gathered into one draft invoice, one line per entry, with your default tax rate applied. The matter reference is carried onto the invoice so the bill can be traced back to the case.

Those entries are then marked Invoiced and will not be picked up again β€” the same hours can never be billed twice. The draft lands in Accounting β†’ Invoices, where you review it and send it like any other.

Statuses

StatusMeaning

Non-billableRecorded for the record, never charged
InvoicedAlready billed; locked out of future invoices

Tips

  • Write descriptions the client would accept reading β€” they are the invoice narrative
  • Log time as you go; reconstructing a week on Friday afternoon costs you money
  • If a matter has no client set, either set it on the matter or choose a company in Bill to, otherwise there is nobody to invoice
