Set Up Recurring Billing
Raise the same invoice for a customer on a schedule, with your own lines and tax rates, and choose whether each one is sent automatically.
A recurring invoice raises the same invoice for a customer on a schedule. Use it for retainers, support contracts and subscriptions.
Create a recurring invoice
- Go to Accounting β Recurring Invoices and click the button to add one.
- Give it a Name, for example "Monthly support retainer", and choose the Customer.
- Add the lines: a description, quantity, unit price and tax rate for each. Add as many lines as you need.
- Choose how often to bill: Daily, Weekly, Monthly, Quarterly or Yearly.
- Set the Next invoice date. This is when the first invoice is raised.
- Optionally set a Day of month to always bill on the same day, and an End date after which no more invoices are raised.
- Add any Notes on the invoice.
- Choose whether to Send each invoice automatically.
- Click Create.
Sent automatically, or checked first
- On: each invoice is raised and emailed to the customer on the run date.
- Off: each invoice is raised as a draft. Check it, then send it yourself from Accounting β Invoices.
Each one is a normal invoice. Once sent it is posted to the ledger, can be paid online and is chased by payment reminders like any other.
Managing a schedule
Each row has these actions:
- Invoices raised: every invoice the schedule has produced, with its status.
- Edit: change the lines, the frequency or the dates. Changes apply from the next invoice.
- Pause and Resume: stop the schedule for a while without losing it.
- Delete: remove the schedule. Invoices it has already raised are kept.
