Use the Shared Business Calendar
See meetings, customer events and deadlines across the team, invite people, and import existing calendars.
What it is
Calendar is one shared calendar for the whole team. It holds meetings, customer events, onboarding sessions and deadlines. It also shows dates that come in automatically from deals, contracts, projects, work orders and tasks (see Calendar Entity Sync).
Finding your way around
- Switch between 1M, 3M and 6M to see one, three or six months. The 6-month view shows dots only; zoom in to read the events.
- Use the arrows to move a month back or forward.
- Click a day to see what's on it. Drag across several days to select a range.
Adding an event
- Click New Event, or select a day and create the event from there.
- Fill in:
- Title (required).
- Type: Customer Event, Meeting, Project, Onboarding or Deadline.
- Priority: Low, Medium, High or Urgent.
- Company, if the event is about a client.
- Start and End date and time.
- Description and Notes.
- For an online meeting, choose the Meeting Platform (Teams, Zoom or Other) and paste in the Meeting Link. The link is sent to each invitee only after they accept.
- Add invitees and save.
Invitations
Each invitee gets an email with accept and decline links. They don't need to log in to reply.
The event shows Invitees (N) with each person's reply: Accepted, Pending or Declined.
Creating work from a day
With a day selected, you can create a Project, Task or Work Order starting on that date. Its dates then show on the calendar.
Importing an existing calendar
- Click Import Calendar.
- Choose an .ics file. Outlook, Google Calendar and Apple Calendar can all export one.
- Check the preview, then confirm.
What it doesn't do (yet)
- There are no week or day views, and no recurring events.
- You can't drag an event to a new date. Open it and change the dates instead.
- The calendar can't be exported, or subscribed to from Outlook or Google.
- Leave and shifts don't appear. They're in HCM.
For bookable time slots that customers can reserve themselves, see Appointments & Online Booking.
For your IT team
- Invitation emails are sent from Plenix as "{your name} via Plenix Calendar". Replies go to the person who sent the invitation.
- Each invitee gets their own RSVP link, so a reply is always recorded against the right person.
