Activity Log and Comments
See everything that has happened in a folder or to a file, and discuss files with comments your team and guests can leave.
The activity log
Every folder and file keeps a log of what happened to it and who did it. Activity logs are for administrators: super admins on app.plenix.cloud, and administrators in your workspace. To see changes across the whole library at once, use the audit log.
Opening it
- For a folder, open it and click Activity in the toolbar, or choose Activity from the folder's menu.
- For a file, choose Activity from the file's menu.
What's recorded
- Files and folders: created, uploaded, renamed, moved, edited, moved to the trash and restored, plus folders created from a template.
- Versions: new versions uploaded, earlier versions restored and versions named.
- Share links: created and revoked, plus every time one was opened, used to download, comment or upload, and wrong password attempts.
- Comments: added, resolved, reopened and deleted.
Each entry shows who did it, what was involved and when. Filter the list with Everything, Files & folders, Share links or Comments. A folder's log includes its subfolders unless you untick Include subfolders.
The most recent 200 entries are shown. People who aren't administrators don't see Activity in the menu or toolbar.
Comments
Use comments to ask questions or give feedback on a file, without emailing it round.
- Open the file's preview.
- Click Comments at the top.
- Type your comment and post it.
Resolve a comment once it's dealt with. Resolved comments are hidden, and Show resolved at the top of the panel brings them back. You can reopen a resolved comment.
You can delete your own comments. People with Write access to the file, and administrators, can resolve and delete anyone's.
Comments from outside your company
A share link set to Can comment or Can edit lets the recipient read the comments and add their own, without an account. Their comments show their name followed by (guest). The person who created the link is told about every guest comment. See Share Files Securely.
Guests see comments and their authors' names. They never see email addresses.
Opening a folder from a link
Notifications about documents open the folder they're about. You can also link to a folder yourself with /dashboard/documents?folder=<folder id>. The folder only opens for people who have access to it.
