Find Files: Columns, Filters and Sorting

Choose which columns the file list shows β€” including who created, changed or last opened each item β€” filter any column and sort in either direction.

What this covers

How to set up the file list so you can find things quickly, and see who created, changed or last opened each file and folder.

Plan: Business and above.

Columns

In the list view, click Columns to choose what's shown. Tick or untick:

  • Size and Type
  • Created and Created by
  • Modified and Modified by
  • Last accessed and Last accessed by: when someone last opened, previewed or downloaded the item, and who it was

Name is always shown. Reset to default puts the columns back how they started. On a narrow screen some columns are hidden to make room.

Sorting

Click any column heading to sort by it. Click it again to switch between ascending and descending. An arrow shows which column the list is sorted by.

Folders always stay above files, and each group is sorted the same way.

In grid view, use the Sort list and the arrow button next to it.

Filtering

Click Filter to show a filter box under each visible column. Type in any of them and the list narrows as you type:

  • Filters ignore capital letters, so smith matches Smith.
  • Dates are matched as they're shown, so you can type a month or a year.
  • You can filter several columns at once. An item has to match all of them.

The toolbar shows how many items match, for example 4 of 27 match. Click Clear filters to show everything again.

In grid view, there's a single filter box for the name.

Your settings are remembered

Your columns and sort order are saved in this browser, so the list looks the same next time. They're not shared with other people or other browsers.
