Link a tenant to a property for a term, with rent, dates and deposit.
What a tenancy is
A tenancy links a tenant to a property for a term, holding the rent, dates and deposit. It drives rent scheduling and connects to maintenance, so the full lifecycle of a let is tracked in one record.
Creating a tenancy
- Go to Property β Tenancies and click New Tenancy.
- Pick the property.
- Enter the tenant's details.
- Set the start and end dates of the term.
- Enter the rent and the payment frequency.
- Record the deposit and where it is protected.
- Save.
What it drives
The rent and frequency on the tenancy schedule what is due in Property β Rent Payments. Changing the rent here changes what is expected going forward; it does not alter payments already recorded.
Ending a tenancy
Record the actual end date and mark the tenancy ended. Keep the record β you will need it for deposit disputes, references and portfolio history.
Renewals
Create a new tenancy for a renewed term rather than extending the old one. Two clean records read far better than one record with a moved end date when someone asks what the rent was in a given year.
Tip: Record the deposit protection reference at the start. Chasing it later, under time pressure, is a recurring and entirely avoidable problem.
