Set Up Your Company Profile

Configure your company branding, timezone, contact details, and settings before inviting your team.

Overview

Before inviting your team or adding clients, take 5 minutes to configure your company profile. This information appears on invoices, proposals, email notifications, and the client portal β€” so it's worth doing first.

Step 1 β€” Basic details

  1. Go to Settings β†’ Company Profile.

  2. Enter:

    • Company name β€” your legal trading name
    • Registered address β€” used on invoices
    • VAT number (if applicable)
    • Company registration number (if applicable)
    • Primary email β€” the from-address for system notifications
    • Phone number
    • Website
  3. Click Save.

Step 2 β€” Branding

  1. Go to Settings β†’ Branding.

  2. Upload your logo β€” PNG or SVG, minimum 200px wide, transparent background recommended. This appears on invoices, proposals, emails, and the client portal.

  3. Set your primary colour β€” used for buttons and accent elements in the client portal and emails.

  4. Email from name β€” what appears as the sender name on emails to clients (e.g. "Acme IT Support").

  5. Custom domain (if on a Professional plan or above) β€” if you have a custom domain set up for the client portal (e.g. support.yourcompany.com), enter it here.

  6. Click Save Branding.

Step 3 β€” Timezone and localisation

  1. Go to Settings β†’ Localisation.

  2. Set your timezone β€” this affects SLA calculations, scheduled billing runs, and report date ranges.

  3. Set your date format and currency.

  4. Click Save.

Step 4 β€” Email configuration

Configure how system emails are sent to your clients.

  1. Go to Settings β†’ Email.

  2. SMTP settings β€” if you want emails to send from your own domain (e.g. support@yourcompany.com) rather than the Plenix shared mailer, enter your SMTP credentials here. Recommended for deliverability.

  3. Email signature β€” add a standard sign-off that appears on all emails sent from the platform.

  4. Click Save & Test β€” Plenix sends a test email to confirm the configuration works.

You're ready to invite your team

Once your company profile is configured, go to Settings β†’ Users to invite your first team members.
