Add Your First Client
Create a company in the CRM, understand the difference between CRM clients and platform users, and link everything together.
Overview
In Plenix, your clients are companies stored in the CRM. Nearly everything in the platform β tickets, invoices, devices, contracts β links back to a CRM company. Adding your first client properly sets up the foundation for all future work with that account.
Create a company in the CRM
-
Go to CRM β Companies and click + New Company.
-
Company name β the client's trading name.
-
Industry β helps filter and segment your client base.
-
Website and phone number.
-
Primary contact β either search for an existing contact or create a new one inline. The primary contact is the first person Plenix associates with the company.
-
Account type:
- Client β an active managed services or paying client
- Prospect β in the sales pipeline but not yet a client
- Partner β a supplier, reseller, or business partner
-
Internal notes β anything important about this account that your team needs to know (e.g. site access instructions, key contacts, escalation preferences).
-
Click Save Company.
Add contacts (people) to the company
A company has people β decision makers, technical contacts, accounts contacts. Add them under CRM β Contacts:
- Click + New Contact.
- Enter the person's name, email, and phone.
- Link them to the company you just created.
- Set their role (e.g. IT Manager, Finance Director, Primary Contact).
Link the client to other modules
Once the company exists in the CRM, other modules can reference it:
- Service Desk β when raising a ticket, select this company as the client
- Billing β invoices are addressed to this company
- Monitoring β devices are tagged to this company
- Contracts β SLAs and service agreements are held with this company
- Customer Success β health scores and onboarding plans are linked to this company
The internal company (your own team)
Your own company is also in the CRM β it's the default company associated with your platform users. When you create tickets for internal work, set the company to your own. This keeps internal and client work clearly separated in reports.
CRM client vs portal access
A CRM company is just a record β it does not automatically give the client access to anything. To give a client access to the self-service portal (where they submit tickets, view invoices, etc.):
- Go to Portal β Settings and enable the portal.
- Invite the client's contacts from the company record: CRM β Company β [company name] β Portal Access β Invite to Portal.
- The contact receives an email with portal login instructions.
