Invite Your Team

Add team members, assign roles, and configure who has access to what in Plenix.

Overview

Plenix uses a role-based access control (RBAC) system. Every person who needs to use the platform needs a platform user account with one or more roles that determine what they can see and do.

Understanding roles

Roles define what a user can access. Plenix comes with built-in roles:

Read OnlyView access across specified modules

You can also create custom roles under Settings β†’ Roles to define exactly which modules and actions each role can access.

Inviting a team member

  1. Go to Settings β†’ Users and click + Invite User.

  2. Enter their name and email address.

  3. Select their role(s) β€” you can assign multiple roles (e.g. Agent + Technician).

  4. Set their department (optional but useful for filtering and reporting).

  5. Click Send Invitation.

The team member receives an email with a link to set their password and log in. The link expires after 48 hours β€” if they miss it, resend from the user list.

Bulk inviting

To invite multiple people at once, click Bulk Invite and enter email addresses separated by commas. All invitees get the same role β€” you can adjust individual roles after.

Employees vs platform users

Note: adding a person as a platform user does not automatically create an HR employee record for them. If this person is on your payroll, also create an employee record in HR β†’ Employees.

To link an existing platform user to an employee record:

  1. Go to HR β†’ Employees β†’ [employee name].
  2. In the Platform Account section, link their platform user account.

Managing existing users

From Settings β†’ Users, you can:

  • Edit a user's role or details
  • Deactivate a user (they can no longer log in but their history is preserved)
  • Reset password β€” send a new reset email
  • Enable MFA β€” enforce two-factor authentication for specific users or all users
