Three-Way Match

Check supplier bills against the purchase order and what was received before paying.

Purchasing β†’ 3-Way Match checks each supplier bill against two things: what you ordered (the purchase order) and what you received (goods receipts).

What is checked

  • Every bill line matches a purchase order line β€” by the link, else the same item code or description.
  • You are not billed for more than was received.
  • The price is not higher than the purchase order price.
  • The bill total agrees with the lines.
  • Something has been received at all.

Tolerances

Small differences are allowed. By default:

  • Price: 2% over the purchase order price.
  • Quantity: 0% β€” no more than was received.
  • Amount: Β£5 on the total.

Change these under the match settings on the 3-Way Match page.

Holds and overrides

A bill that does not match is held from payment and listed with its exceptions. When someone reviews it they can override the hold; the reason is recorded against the bill. Bills show their match status and hold on the bill itself.

Landed costs

On a goods receipt, add freight, duty, insurance, handling or other charges and spread them across the lines by value, by quantity or equally. The cost of each item is updated so it includes what it cost to get it to you.
