Issuing and Managing Certificates
How completion certificates work, how to download them, and how to set expiry reminders.
Certificates in the LMS
When an employee passes a course assessment, Plenix generates a PDF certificate automatically.
How certificates are issued
- Employee completes all lessons in a course.
- Employee passes the assessment with a score above the minimum.
- Plenix generates a certificate PDF stamped with employee name, course title, completion date, and a unique certificate ID.
- The certificate is emailed to the employee and stored on their HCM profile.
Viewing certificates
- As an admin/manager: Go to HCM > Training and LMS > Certificates.
- As an employee: Go to Profile > Certificates.
Setting expiry reminders
For certifications requiring annual renewal (e.g. First Aid, GDPR refresher):
- On the course settings, tick Certificate expires.
- Set the expiry period (e.g. 12 months).
- Plenix emails the employee and manager 30 and 7 days before expiry.
Example: A "Manual Handling" course certificate expires yearly. Employees approaching renewal see a badge on their profile and receive automated reminder emails β no tracking spreadsheet needed.
Bulk certificate report
Go to Reports > LMS Compliance Report to export a CSV of every certificate, employee, expiry date, and renewal status. Useful for ISO audits, GDPR evidence, or health and safety inspections.
