How completion certificates work, how to download them, and how to set expiry reminders.

Certificates in the LMS

When an employee passes a course assessment, Plenix generates a PDF certificate automatically.

How certificates are issued

  1. Employee completes all lessons in a course.
  2. Employee passes the assessment with a score above the minimum.
  3. Plenix generates a certificate PDF stamped with employee name, course title, completion date, and a unique certificate ID.
  4. The certificate is emailed to the employee and stored on their HCM profile.

Viewing certificates

  • As an admin/manager: Go to HCM > Training and LMS > Certificates.
  • As an employee: Go to Profile > Certificates.

Setting expiry reminders

For certifications requiring annual renewal (e.g. First Aid, GDPR refresher):

  1. On the course settings, tick Certificate expires.
  2. Set the expiry period (e.g. 12 months).
  3. Plenix emails the employee and manager 30 and 7 days before expiry.

Example: A "Manual Handling" course certificate expires yearly. Employees approaching renewal see a badge on their profile and receive automated reminder emails β€” no tracking spreadsheet needed.

Bulk certificate report

Go to Reports > LMS Compliance Report to export a CSV of every certificate, employee, expiry date, and renewal status. Useful for ISO audits, GDPR evidence, or health and safety inspections.
