What signatures do

Create and manage the signatures appended to outbound ticket replies. Standardising contact details and disclaimers means every email your team sends looks professional and carries whatever legal wording you need.

Creating a signature

  1. Go to Platform β†’ Email Signatures and click New Signature.
  2. Name it so it is obvious when to use it β€” Support Team, Sales.
  3. Compose the signature: name, role, contact details, and any disclaimer.
  4. Save.

How it is applied

The signature is appended to outbound ticket replies automatically. Agents do not paste it in, and cannot forget it.

Keeping it clean

Signatures are read on phones as often as on desktops. Keep them short, avoid large images, and check how yours renders on a narrow screen before rolling it out.

If you are required to include company registration details or a confidentiality notice, put it in the signature rather than relying on people to remember. That is exactly what this feature is for.

Tip: Update signatures centrally when your address or phone number changes. That is the whole point of managing them here rather than in each person's client.
