Low Stock and Reordering
Set reorder points, see which items have fallen to them, and turn them into a draft purchase request in one click.
What it does
Plenix watches your stock and tells you which items are running low. It suggests how many of each to order, and turns your selection into a purchase request ready for approval.
It works from reorder points you set. It doesn't forecast demand from past sales or seasonal patterns.
Setting a reorder point
- Go to Inventory β Items and open an item, or add a new one.
- Set Min Quantity. When stock falls to this level or below, the item counts as low.
- Set the item's vendor and cost so that the reorder panel can fill them in for you.
A good reorder point is what you normally use while waiting for a delivery, plus a small safety margin.
Seeing what's low
The Low Stock card on the Items page shows how many items are at or below their reorder point. Under it, a panel titled "N items at or below reorder point" lists each item with:
| Column | Meaning |
|---|---|
| On hand | Current quantity |
| Reorder at | The Min Quantity you set |
| Suggested | How many to order |
| Vendor | The item's vendor |
| Est. cost | Suggested quantity Γ unit cost |
How the suggestion is worked out: it brings stock back up to twice the reorder point. It never suggests fewer than the reorder point itself. For example, with a reorder point of 10 and 3 on hand, it suggests 17.
Raising the order
- Tick the items you want to reorder.
- Click Draft reorder request (N).
- Plenix creates a draft purchase request and gives you its number: "Draft purchase request PR-β¦ created β review & submit it in Procurement."
- Open it in Procurement, change any quantities, and submit it for approval. From there it goes through the normal purchase request, PO and goods receipt steps.
Nothing is ordered until someone submits and approves the request.
How stock stays up to date
- A goods receipt adds stock when a delivery is booked in.
- A completed work order takes off the parts it used.
- A stock adjustment corrects the count after a stocktake.
If the counts are wrong, the low-stock list will be too. Book deliveries in when they arrive.
