Work Boards

Flexible boards for any team: columns, seven views, automations, intake forms, members, import and export.

ERP β†’ Work Boards gives every team a flexible board for tracking anything: projects, sprints, onboarding, requests, hiring or content. A board is a list of items, sorted into groups, with whatever columns you need. Work Boards come with ERP access. Plans and prices are unchanged.

The Boards hub

The hub shows your favourite boards, every board you can see grouped by workspace, recent activity, My Work and the template gallery. Each figure at the top of the page opens the list behind it.

  • New board β€” start blank or from a template: project plan, sprint, client onboarding, content calendar, deal room, IT requests, hiring pipeline, event planning, goals tracker, bug tracker or marketing campaign. Tick include example items to see how a template works before adding your own.
  • Workspaces keep related boards together. A board can also be linked to an ERP project.
  • Public or private β€” a public board is visible to everyone on your team; a private board only to its members.

My Work

Everything assigned to you on any board, grouped into overdue, today, this week, next week, later and no date. Click an item to open it on its board.

Columns

Add a column from the + at the end of the table header. Available types include status, priority, people, date, timeline, number, checkbox, dropdown, tags, text, long text, link, email, phone, rating, files, time tracking, votes, dependencies and record links (company, contact, deal, lead, project, ticket, work order, invoice or employee).

Some columns work themselves out: progress (from status columns or subitems), formula, created, updated and item ID. Formulas refer to the board's own columns by name, for example:

IF({Status} = "Done", 0, DAYS({Due}, TODAY()))

Status, priority, dropdown and tags columns let you edit their labels and colours. A board can have up to 60 columns.

Views

Every board can show the same items as Table, Kanban, Timeline (Gantt), Calendar, Workload, Chart or Cards. Each view remembers its own filters, sort order, hidden columns and search.

  • Add a view with the + next to the view tabs. Double-click a tab to rename it; use its menu to copy or delete it.
  • Search, Person, Filter, Sort and Hide sit in the toolbar. Choose Save search to view to keep a search.
  • The view is part of the page address, so you can share a link that opens a specific view or item.

Working in the table

  • Click any cell to edit it. Drag items between groups, or drag groups up and down.
  • Select several items to change a value, move, copy, archive or delete them together.
  • Each column's footer shows a total, or a colour breakdown of its labels.

Item pages

Open an item to see all its columns, post updates and replies, @mention colleagues, add subitems, attach files (up to 25 MB each) and read the full history of changes. @mentions only reach people who can see the board.

Automations

Click Automations to build "when this happens, do that" rules without code.

Triggers: an item is created; a column changes; a status changes; someone is assigned; a date arrives; an item moves to a group; all subitems are done; an update is posted.

Actions: set or clear a value; set a date; move to a group; assign someone; notify people; create a subitem; create an item; duplicate; archive; post an update.

Quick-start recipes are built from your board's own columns. Automations can trigger other automations up to three steps deep, which stops loops. Date automations pause while a board is archived.

Intake forms

Click Form to turn the board into a public form that anyone can fill in without logging in β€” clients, suppliers or other teams.

  • Choose the questions, which are required, the help text and which group new items land in.
  • People, files and record-link columns are never offered on public forms.
  • Copy the link to share it. New link replaces it, and the old link stops working straight away.
  • Each submission becomes an item on the board; the board owner can be notified.
  • Submissions are rate-limited and screened for bots.

Members and roles

Open Settings β†’ Members to invite people as co-owners, editors or viewers, or hand ownership to someone else. Viewers can see the board and post updates but cannot change items.

Import and export

  • Import CSV (up to 5 MB, 2,000 rows) matches columns by name automatically and creates groups when needed.
  • Export CSV downloads the board at any time. Exports are protected against spreadsheet formula injection.
  • A board holds up to 5,000 items.

Activity, archive and restore

Activity shows who changed what, with a filter by person. Archived items, groups and whole boards can be restored from Settings β†’ Archive. Archived boards are read-only until you restore them.
