How ERP Services, Contracts & Billing Connect

Learn how the ERP service catalogue, contracts, and recurring billing work together so a single service definition flows automatically through to monthly revenue.

Overview

The ERP module contains a service catalogue where you define the managed services you deliver (e.g. "Enterprise Managed IT β€” Β£2,500/month"). Assigning a service to a client company generates a contract and automatically feeds the recurring charge into the billing system and MRR dashboard.

The three-layer model

Layer 1 β€” Service Catalogue (ERP β†’ Services)

Each service record holds:

  • Name and description
  • Price and billing frequency (monthly, quarterly, annual)
  • Category (e.g. Managed IT, Cloud Backup, Print Management)
  • SLA tier to associate (links to the SLA module)

Services are templates β€” you define them once, assign them to many clients.

Layer 2 β€” Contracts (ERP β†’ Contracts)

When you assign a service to a company, Plenix creates or links a contract. A contract stores:

  • Start and end dates
  • The linked service (and therefore price / frequency)
  • Status: Active, Pending, Expired, or Cancelled
  • Notes and renewal terms

You can manage contracts at ERP β†’ Contracts or from the Company profile β†’ Services tab.

Layer 3 β€” Billing & MRR

Active contracts feed the billing system automatically:

  • The company's Billing tab shows all contracted services as line items
  • Monthly recurring charges appear in Accounting β†’ Recurring Invoices
  • The MRR Dashboard (Billing β†’ MRR) aggregates all active service values into your monthly recurring revenue figure

Setting up the flow

  1. Go to ERP β†’ Services and create your service catalogue entries
  2. Open a company profile and navigate to the Services tab
  3. Click Add Service β€” choose from your catalogue, set a start date
  4. Plenix creates a contract automatically β€” review it at ERP β†’ Contracts
  5. The service appears in the company's Billing tab and MRR rolls up immediately

Tips

  • Cancelling a contract removes it from MRR from the end date
  • You can link a service to multiple contracts (e.g. the same "Managed IT" service at different price tiers for different clients)
  • Use the contract expiry field β€” an automation rule can send a renewal reminder 30 days before expiry
