Email Templates

Start from a professionally written template with pictures, design it block by block, check deliverability and send yourself a test, then use it in any campaign.

Where to find it

Go to CRM β†’ Email Templates. The page has four tabs:

  • Gallery: ready-made templates, each with a picture, written for a purpose (welcome, follow-up, offer, newsletter, re-engagement, event and more) and an industry.
  • My templates: the templates your team has saved.
  • Images: your image library.
  • Brand voice: your logo, colours, business name and address, and the tone AI writing should use.
  1. Open the Gallery tab and filter by purpose or industry, or search.
  2. Click a card to preview the real email with sample names filled in.
  3. Click Use this template. A copy is saved to My templates and opens in the builder. The gallery original never changes.

Templates marked Leads Hub are part of the Enterprise Leads Hub. On other plans you can preview them but not use them. To start with an empty design, click Blank template.

Build the email

  • Add blocks from the left: hero, heading, text, image, button, columns, product, testimonial, divider, spacer, signature, social links and footer.
  • Click a block to edit it on the right. Drag blocks, or use the arrows, to reorder them.
  • Subject and preheader sit above the preview. The preheader is the grey line most inboxes show after the subject.
  • The preview is the real email. Switch between desktop and mobile widths.
  • Colours and fonts left empty use your Brand voice settings, so every template stays on brand.

Click Save when you're done. The page warns you before you leave with unsaved changes.

Merge tags

Merge tags are replaced for each recipient when the email is sent:

TagBecomes
{{first_name}}The recipient's first name
{{last_name}}Their last name
{{company}}Their company
{{email}}Their email address
{{first_line}}A personal opening line (Leads Hub)
{{sender_name}} / {{sender_company}}You and your business

Add a fallback with a bar: {{first_name|there}} becomes "there" when a first name is missing.

Checks and test sends

Open the Checks tab before you use a template. It scores deliverability out of 100 and lists what to fix, such as a subject in capitals, too many links, missing image descriptions or spam-trigger words.

Send me a test emails the design to you, so you can see it in a real inbox. You can send up to 5 tests a minute.

Every email includes your business name, address and an unsubscribe link in the footer. UK law requires them, and they can't be removed.

AI writing (Leads Hub)

On Enterprise, the builder can write a first draft from a short brief, or rewrite a block to be shorter, friendlier or more formal. It uses your Brand voice. AI writing uses no credits. Always read AI text before you send it.

Use a template in a campaign

  1. Open a campaign in CRM β†’ Campaigns and add or edit a step.
  2. Choose Use a designed template and pick one of your templates.
  3. Give the step its own subject, or keep the template's.

Changes to a template apply to every step that uses it, for emails not yet sent. The template's page shows how many campaign steps use it.

Images

Upload JPG, PNG, GIF or WebP images, up to 20 at a time, on the Images tab or straight from an image block. Large images are resized to 1600 pixels wide, and hidden details such as photo location are removed. Give images a name and tags so the team can find them.
