How Quote-to-Cash Works β End-to-End Revenue Flow
Understand how Plenix takes a deal from proposal acceptance all the way through stock reservation, delivery, invoicing, and MRR tracking without any manual handoffs.
Overview
Quote-to-Cash (Q2C) is the automated bridge between your sales process and your billing system. Once a proposal is accepted, Plenix tracks every line item through fulfilment and raises the invoice β with no manual handoffs between CRM, inventory, and accounting.
The Q2C flow
Lead β Deal β Proposal sent β Proposal accepted
β Q2C pipeline created automatically
β Stock reserved (if product lines present)
β Delivery confirmed
β Invoice auto-generated and sent
β MRR / ARR updated
Step 1 β Proposal is accepted
When a proposal moves to Accepted status (via portal e-sign, manual update, or automation rule), Plenix immediately:
- Marks the linked deal as Won
- Creates a Q2C pipeline entry for every line item on the proposal
- Sets the fulfilment stage to Pending
Step 2 β Q2C Hub
Navigate to CRM β Q2C to see your fulfilment board. Each card represents one accepted deal moving through stages:
| Stage | What it means |
|---|---|
| Proposal Accepted | Deal won, fulfilment not yet started |
| Stock Reserved | Inventory lines have been reserved in the warehouse |
| Delivered | Physical or digital delivery confirmed |
| Invoiced | Invoice raised and sent to client |
Step 3 β Stock reservation
If the proposal includes inventory line items, Plenix deducts them from available stock in the linked warehouse. You see the reservation on the stock page β the item shows as Reserved until delivery is confirmed.
Step 4 β Delivery confirmation
Mark a Q2C card as Delivered when the service starts or hardware ships. This triggers the billing step.
Step 5 β Auto-invoice
On delivery, Plenix auto-generates an invoice copying all line items, values, and tax rates from the original proposal. The invoice is linked to:
- The originating deal (visible in the deal timeline)
- The company billing tab (appears immediately)
- The MRR dashboard (recurring lines update monthly recurring revenue)
The invoice is sent automatically if the company has an email address on file and auto-send is enabled in Billing settings.
Where to find it
- CRM β Q2C β the fulfilment kanban board
- CRM β Proposals β accepted proposals show their Q2C status
- CRM β Companies β [company] β Billing tab β all invoices including Q2C-generated ones
- Billing β MRR Dashboard β recurring lines from Q2C contracts
Key tips
- You can edit the auto-generated invoice before it sends β go to Accounting β Invoices and find it in Draft status
- If a deal has no inventory lines, Q2C skips straight from Accepted β Invoiced
- Recurring lines (e.g. monthly managed service fee) create a recurring invoice template automatically
