Quote Approvals
Approval rules for discount, margin, floor price and quote value, and how reps and approvers work with them.
Approval rules hold back a quote whose pricing crosses a limit until someone signs it off. Set them up in CRM β CPQ β Approval rules (admins only).
Rules
| Check | Trips when |
|---|---|
| Overall discount | The discount across the whole quote, against list prices, is over the threshold |
| Discount on any line | The deepest discount on a single line is over the threshold |
| Margin below | Gross margin on lines with a known cost is under the threshold |
| Below floor price | Any line is sold under its floor price |
| Quote total over | The net value of the quote is over the threshold |
Each rule has an approver. Leave it empty to let any admin approve. List prices come from the catalogue or the configurator, so a line typed in by hand with no list price can't count as a discount.
What is held back
A quote that trips any active rule can't be sent, accepted, turned into a sales order or invoiced until it is approved. The quote editor shows why, and each line shows how far below list price it is sold.
Asking for approval
Save the quote and click Ask for approval. The quote list marks quotes that are waiting.
Deciding
Approvers find requests under CRM β CPQ β Approvals, filtered to Waiting on me. Each request shows the lines, list price, floor price, cost, discount and margin. Approve it, or Decline it with a comment the rep will see. A request with several rules needs every step approved. The person who raised the request can't approve it themselves unless they are the only admin.
Changing prices after approval
Approval is for the exact prices that were approved. If the quote changes, the approval no longer applies and the rep asks again. A request whose quote has changed since it was raised is marked so the approver knows.
Limits
Quotes sent before you added a rule are not held back. Acceptance through the client portal is not checked separately, because a quote can only reach the portal by being sent.
