Using the Quote-to-Cash Pipeline

Track a proposal from acceptance through stock reservation, delivery, and auto-invoice generation.

Quote-to-Cash Pipeline

The Quote-to-Cash (Q2C) pipeline connects sales proposals to inventory fulfillment and billing β€” so nothing gets lost between winning a deal and getting paid.

How it works

Proposal accepted > Fulfillment opened > Lines sourced > Delivered > Invoice generated

Step 1: Initiate fulfillment

  1. Go to CRM > Quote-to-Cash.
  2. Find the accepted proposal or click Initiate Fulfillment on the proposal page.
  3. Plenix reads the proposal line items and creates one fulfillment line per item, classified as:
    • Stock β€” item in inventory with sufficient quantity
    • Order β€” item needs to be purchased from a supplier
    • Service β€” labour or service item, no physical fulfillment needed

Step 2: Reserve stock

For Stock lines: click Reserve to deduct the quantity from inventory immediately. This prevents overselling to another customer.

For Order lines: create a Purchase Order in Purchasing, then click Link PO on the fulfillment line. The line status changes to Ordered.

Step 3: Mark lines ready

As items arrive or are prepared, click Mark Ready on each line. Once all lines are Ready, the fulfillment status becomes Ready to deliver.

Step 4: Mark delivered

Click Mark Delivered when goods or services are delivered to the customer. All lines move to Delivered status.

Step 5: Generate invoice

Click Generate Invoice on the delivered fulfillment. Plenix creates a draft invoice in Accounting with all line items, quantities, and prices pre-filled from the proposal. Review and send.

Suggestions

  • Service-only proposals: Skip to Mark Delivered immediately β€” no stock steps needed.
  • Partial delivery: Mark individual lines as Ready and generate a partial invoice without waiting for all lines.
  • Visibility: Filter the Q2C dashboard by status to see exactly which fulfillments need action today.
