Making choices, dependants and life events

How employees choose or turn down plans, add dependants and report life events, and how HR approves them.

Choosing a plan

Open HCM β†’ Benefits β†’ My benefits. Each plan you can join shows its levels, what each costs you a month and, if your company shows it, what the company adds.

When choices are open for you, pick a level, tick the dependants to cover and confirm. If the plan can be turned down you can choose Turn this plan down and give a reason.

You can cancel a choice until it starts.

Approval

In Settings, HR chooses whether choices start straight away or wait for HR.

  • Without approval, a choice is Starts soon until its start date, then Active.
  • With approval, it is Waiting for HR until HR approves or declines it. You are told either way.

HR approves and declines from Enrolments (filter Waiting for HR). A decline can carry a note saying why.

Dependants

Add partners and children under My benefits β†’ Dependants: name, relationship and date of birth. Then tick them when choosing a plan that covers dependants. A plan may limit how many dependants it covers.

You cannot remove a dependant who is still on a plan. Change that plan's cover first, or report a life event.

Life events

Some changes let you change your benefits outside an enrolment window: marriage, civil partnership, the birth or adoption of a child, divorce or separation, the death of a dependant, losing other cover, moving home, or something else.

  1. Under My benefits, click Report a life event, choose what happened and when, and add a note.
  2. HR reviews it under Life events and approves or declines it.
  3. Once approved you have a set number of days (30 by default) to change your choices. New cover starts from the date of the event.

You can have at most five life events waiting for HR at a time.

HR enrolling someone

HR can open any person from a plan page or the enrolments list and enrol them directly on any level with a start date β€” useful for corrections or late joiners. HR can also end someone's cover on a date.

When someone leaves

When a person leaves, their active cover ends that day and choices that had not started are withdrawn.
