Recruitment overview (applicant tracking)

How jobs, applications, the pipeline, interviews, scorecards and offers fit together, and who can see what.

Recruitment is a full applicant tracking system. Open it from HCM β†’ Recruitment in the sidebar. It is part of the HCM module, so it is on the Business and Enterprise plans. Plans and prices have not changed.

How it fits together

  1. Create a job. Add the title, department, location, type, salary range, description and requirements. Add screening questions, a scorecard and the hiring team.
  2. Publish it. Published jobs appear on your careers site when it is turned on. You can also add applicants yourself, for example from a referral.
  3. Move applicants through the pipeline. Each job has stages you choose.
  4. Interview and score. Schedule interviews and collect a scorecard from each interviewer.
  5. Make an offer. Send an offer the candidate accepts online.
  6. Hire. When the candidate accepts, their employee record is created and the onboarding checklist chosen for the job starts. You can also hire someone directly from their application.

Who can see what

  • HR (HCM approvers and admins) see every job, candidate and offer, and change settings.
  • Hiring managers and interviewers see only the jobs they are on, their own interviews and the scorecards waiting for them. They do not need access to the rest of HR.
  • Only HR and the job's hiring manager can prepare, send or withdraw offers.

Automations

Workflow rules can react to new applications, stage changes, interviews and offers, for example to post in a channel when an offer is accepted.
