Set up benefit plans

Create a benefit plan, add levels of cover, price them as a monthly amount or a share of pay, and choose who can join.

Go to HCM β†’ Benefits β†’ Plans and click New plan.

The basics

  • Name, category (health, dental, vision, life cover, income protection, pension, wellbeing, car scheme, childcare, cycle to work or other), provider and a description.
  • Plan document β€” a link to the full terms, shown to employees.
  • Currency for the prices.

Levels of cover

Add up to eight levels, for example Just me, Me and partner, Family. Choose how the plan is priced:

  • Fixed β€” a monthly amount the employee pays and a monthly amount the company pays.
  • Share of pay β€” a percentage of pay for each, which suits pensions. For hourly staff, pay is their hourly rate times the yearly hours set in Settings (1,950 by default).

Who can join

Leave everything empty and everyone can join. Otherwise limit the plan by:

  • Department and branch
  • Employment type β€” full time, part time, contract, temporary, intern
  • Minimum service in days
  • Include named people (they can join whatever the other rules say) and exclude named people.

People who have left can never join.

Options

  • Auto-enrol β€” everyone eligible is put on the first level once any waiting period is over, and told. See below.
  • Can be turned down β€” lets people choose to turn it down. Turn it off for plans everyone must be on.
  • Covers dependants and the most dependants allowed.
  • Waiting period β€” days from joining before cover can start.
  • Active β€” untick to archive the plan. It stops being offered but its history is kept.
  • Order β€” where it appears in lists.

Auto-enrolment

Every night Plenix looks at each auto-enrol plan and enrols everyone eligible who has no record on it yet, on the first level, from that day. They get a notification. If the plan can be turned down, they can opt out from My benefits.

The plan page

Click a plan to open its page. You see its levels and rules, every member with their status, level and dates, and the people who are eligible but have not chosen yet. Use the status chips to filter, and Export members for a spreadsheet. Click a person to see their choices and enrol them.
