Disciplinary Cases

Record formal warnings, investigations and outcomes against an employee.

What this records

Formal disciplinary actions β€” from a verbal warning through to dismissal β€” and investigations tracked to a clear outcome. Cases attach to the employee's HR record, giving you a defensible, auditable history for each person.

Opening a case

  1. Go to HCM β†’ Disciplinary Cases and click New Case.
  2. Pick the employee.
  3. Choose the type: verbal warning, written warning, final warning, suspension, dismissal or investigation.
  4. Record the date, the reason and the facts as they stand.
  5. Save. The case opens in Open status.

Working a case

Update the case as it progresses β€” an investigation moves to Under investigation, then to a recorded outcome. Add notes as events happen rather than reconstructing them afterwards; contemporaneous notes are what make a record defensible.

Closing a case

Record the outcome and close it. Closed cases stay on the employee's record permanently.

Who can see this

Disciplinary records are restricted to HR and admin roles. They are not visible to the employee's colleagues or their line manager unless that person also holds an HR role.

Tip: Write the reason as if someone outside the business will read it, because at a tribunal they might. Facts and dates, not characterisation.
