The offboarding checklist

Where the tasks come from, who they go to, the one-click actions, and making your own checklist templates.

Every offboarding has a checklist. It is made from two parts.

1. The checklist for the leaving reason

Under Checklists, HR can build a template for each reason, such as resignation, redundancy or end of contract. Each task has a title, who does it and when it is due, as a number of days before (negative) or after the last working day. Mark one template as the default. If there is no template, a built-in checklist is used: confirm the leaving date in writing, agree a handover, hand over knowledge, move shared passwords into the vault, prepare final pay, back up the mailbox, return keys and cards, transfer file ownership, and send the leaver letter.

2. Tasks for what the person still holds

Plenix adds a task for each of these that it finds:

  • equipment and assets assigned to them
  • direct reports who need a new manager
  • shifts after their last working day
  • upcoming 1:1s
  • open expense claims and leave requests
  • open tickets assigned to them
  • jobs they are hiring for
  • onboarding they run
  • succession plans they are part of
  • their access and the exit interview

If something new appears during their notice, open the offboarding and choose Check for new items.

Who gets each task

CategoryGoes to
HRThe HR people in Settings, or whoever started the offboarding
ManagerThe leaver's manager
ITThe IT people in Settings
FinanceThe finance people in Settings
LeaverThe person who is leaving

If nobody is set for a category, the task goes to the person who started the offboarding.

One-click actions

On the leaver's page, HR and the manager can:

  • Move direct reports to a new manager
  • Cancel later shifts after the last working day
  • Cancel upcoming 1:1s
  • Show open tickets to hand them over
  • Switch off access now (HR only)

Each action ticks off its own task. The exit interview task ticks itself when the interview is submitted, and the access task can only be ticked once access is off.

Ticking, skipping and adding

Whoever a task is assigned to can tick it off. HR and the manager can also skip a task with a reason, reopen it, add their own tasks and remove tasks they added. A task can open the record it is about, such as the asset or the shift. Assignees get a morning reminder when a task is due within two days or overdue, repeated every three days until it is done.
