HCM β Onboard a New Employee
Run a structured onboarding checklist so new starters are set up consistently.
Onboarding gives every new starter the same checklist, with real due dates, so nothing is missed in their first weeks.
Building a template
Only HR (HR managers and HR admins) can manage templates and assign onboarding.
- Go to HCM β Onboarding and click New Template.
- Give it a Name (for example Field engineer) and, optionally, a Department.
- Add the Tasks: paperwork, equipment, accounts and access, training, introductions. For each one you can add details and a Due day, the number of days after the start date it's due (0 is the first day). Use the arrows to reorder tasks.
- Click Save Template.
Editing a template only affects future assignments. Starters who already have the checklist keep their copy. A template that has been used can't be deleted.
Assigning onboarding to a starter
- Click Assign Onboarding, or Assign next to a template on the Templates tab.
- Pick the Template, search for the Employee and set their Start date.
- Click Assign. Each task gets a due date counted from the start date.
A starter can't have the same template in progress twice.
Working through the checklist
Click a starter to open their checklist and tick tasks as they're done. Both HR and the starter can tick tasks. Each tick records when it was done.
- The onboarding completes itself when every task is ticked.
- HR can click Sign off to complete it early, even with tasks left.
- Remove deletes an assignment made by mistake.
Tracking progress
The Starters tab shows each starter's progress. The cards at the top filter the list: In progress, Tasks overdue (an unticked task is past its due date) and Completed.
Employees outside HR see only their own onboarding.
Combine onboarding with Skills to record qualifications, LMS / Training to assign required courses, and the starter's user account to grant the right access role.
