Offers
Draft, approve and send offers that candidates accept or decline online, with expiry dates.
Drafting an offer
On the application, choose Make offer and fill in the salary, bonus, benefits, start date, the date the offer expires and the letter. The letter can use merge fields such as the candidate's name and the job title.
Approval
If you add an approver, the offer goes to pending approval. The approver approves it or sends it back to draft with a comment. Nobody can approve an offer they prepared themselves, unless they are HR.
Sending
Send emails the candidate a secure link. The page shows the offer details and your letter in your branding. The candidate:
- accepts by typing their full name, which is recorded with the date and time, or
- declines, optionally giving a reason.
You are notified either way. The link only works for that offer.
Statuses
| Status | Meaning |
|---|---|
| Draft | Being written |
| Pending approval | Waiting for the approver |
| Approved | Ready to send |
| Sent | With the candidate |
| Accepted / Declined | The candidate answered |
| Withdrawn | You took the offer back |
| Expired | Not answered by the expiry date |
Offers are checked every night. When one expires, the link stops working and you are told. To try again, make a new offer.
After acceptance
Accepting creates the candidate's employee record with the job title, department, start date and (for annual salaries) the salary, and starts the job's onboarding checklist. If that cannot be done automatically, the acceptance still stands and a note on the application tells HR to finish the hire by hand.
